The Pharmacy, Optometry and Dental (POD) team is newly formed following a period of reorganisation and so this is an exciting time to join and help shape the way NHS Hampshire & Isle of Wight supports and works with our Pharmacy, Optometry and Dental Practices.

### Main duties of the job

To provide a comprehensive administration service to the the team and POD including supporting key areas of work and being the main point of contact for all queries. To provide a comprehensive and efficient secretarial and administration service to the Pharmacy, Optometry and Dentistry (POD) Team including supporting key areas of work and being the main point of contact for all queries. To assist the Team with day-to-day admin tasks. To work with little supervision, prioritise on a daily basis ensuring the smooth operation of the office area and office systems. The role also requires handling comprehensive and sensitive information/correspondence, document management and arranging complex meetings. To work as a member of a team of Administrators and Support Officers in a flexible and co-operative way, in particular providing support for the other administrators and the wider director team at times of pressure and absence.

This role is suitable for those with NHS experience but also may be a step into the NHS to develop knowledge and skills within the Primary Care team and wider ICB.

### Detailed job description and main responsibilities

As outlined in the job description, duties for this role are summarised as follows:

Provide comprehensive administrative and secretarial support to the Pharmacy, Optometry and Dentistry Team.

Manage complex diaries, appointments and meeting schedules for senior staff.

Arrange meetings, workshops, conferences, training events and associated logistics.

Prepare agendas, meeting papers and supporting documentation.

Attend meetings and produce accurate minutes, action logs and follow-up communications.

Manage incoming and outgoing correspondence, ensuring sensitive and confidential information is handled appropriately.

Respond to enquiries, telephone calls and Microsoft Teams communications, redirecting issues as required.

Maintain effective filing, record management and document control systems.

Support the production of reports, presentations, letters, spreadsheets and other documentation.

Assist with data collection, reporting and governance processes.

Provide administrative support for projects and programme activities across the POD team.

Support recruitment, induction, training and development activities where required.

Liaise with colleagues across the ICB, NHS England, providers, contractors and external stakeholders.

Provide cover for colleagues during periods of absence and support wider team priorities.

- Educated to GCSE/O level grade C in English or equivalent.
- NVQ 3 in Business Administration/Management or equivalent experience.

- Experience of typing and formatting of documents.
- Experience or preparing agendas and taking minutes/notes.
- Experience in complex diary management/ planning and organising complex meetings.

### Information and Communication Technology

**Essential**

- Excellent working knowledge of Microsoft Office package/Microsoft Teams.
