This role is essential in underpinning IPC governance, operational delivery, and organisational compliance, enabling the clinical IPC team to focus on patient safety and infection prevention priorities.

The role also supports workforce and operational functions, including monitoring staff records, managing procurement and stock, and liaising with a wide range of internal and external stakeholders. In addition, the post holder contributes to the development and improvement of administrative systems and processes to enhance efficiency and support the delivery of IPC objectives.

The post holder is responsible for coordinating all administrative functions within IPC, ensuring that key processes such as meeting management, documentation, data reporting, and communication are delivered efficiently and to a high standard. This includes organising and minuting a wide range of internal and external meetings, tracking actions, and supporting service development and implementation of new procedures.

### Main duties of the job

The IPC Personal Assistant/Senior Administrator provides comprehensive administrative, organisational, and coordination support to the Infection Prevention and Control (IPC) team. The role is central to ensuring the smooth running of IPC services, supporting governance, communication, and operational delivery.

Overall, the role underpins IPC governance and service effectiveness, enabling the clinical team to focus on reducing infection risks and maintaining patient safety across the organisation

Provide high-level administrative and secretarial support to the IPC team, including typing reports, correspondence, and maintaining confidential records.

Coordinate and minute a wide range of meetings (team, operational, and multi-agency), including tracking actions and supporting service development.

Act as a central coordination point for IPC, liaising with clinical teams, estates, facilities, and other stakeholders across the Trust.

Support operational functions, including workforce records, procurement, and stock management, ensuring smooth day-to-day service delivery.

### Experience

- Previous experience in a similar senior personal assistant or administrative role. Extensive experience of working with senior level staff and in managing confidential matters

### Personal qualities/attributes

### Knowledge, skills and training

**Essential**

- Minimum of 5 GCSE passes at Grade C or above, or equivalent, including English and Mathematics
- RSA Standard lll Word Processing or equivalent (To include Information Technology literate, able to use Microsoft Office including excel spreadsheets, and with excellent keyboard skills
- Excellent communication and negotiating skills (written, verbal and telephone manner
- Good numeracy skills
