We are looking for a motivated and organised individual to support the Mental Health Support Team within our friendly administration team.

You will manage your own workload, including booking appointments and maintaining waiting lists in line with Trust standards and the Access Policy. Working closely with clinicians and colleagues, you will help make effective use of clinic capacity and support the service to meet local and national waiting time targets.

A key part of the role is coordinating clinics and actively managing waiting lists. You will also provide day-to-day support and guidance to Booking Coordinators where needed, ensuring a consistent approach to patient scheduling.

### Main duties of the job

Reporting into the Operational Support Manager, some of your responsibilities will include:

- Manage clinic bookings, cancellations, and changes in line with departmental guidelines
- Coordinate and rearrange patient appointments to meet Trust waiting time targets
- Adjust clinic templates to maximise capacity and effective use of slots
- Maintain and monitor waiting lists to ensure patients are seen within target dates
- Monitor clinic utilisation and escalate issues to support timely remedial action
- Circulate departmental information, including clinic cancellations

## Person Specification

### Knowledge

**Essential**

- Developing, reviewing, and enhancing office systems and practice
- Advanced use of comprehensive range of IT software including Word, Excel and email
- Highly organised with the ability to prioritise a diverse workload and proven ability to meet deadlines
- Ability to communicate with professionals from a broad range of agencies and services in a professional manner
- Ability to adapt to change by discussing new ideas and solutions

### Experience

**Essential**

- Previous experience of developing and implementing new office systems
- Good working knowledge of Microsoft Office packages especially excel
- Experience in coordination of clinics and clinic utilisation
- Experience of patient tracking and validation

**Desirable**

- Experience of working within a NHS Clinic Bookings team
- Experience of working in a mental health service

### Qualifications

**Essential**

- NVQ Level 4 or equivalent experience
- 5 GCSE's or equivalent (grades A-C)

**Desirable**

- ECDL

- Adaptable and flexible to cope with fluctuating workloads
- Good organisational skills including arranging appointments and meetings
- Work without direct supervision
