### Main duties of the job

- Ensure the smooth operation of the team by managing various administrative tasks and offering secretarial assistance to support the delivery of quality care.
- Keep accurate and up-to-date diaries and records, manage incoming and outgoing correspondence, and handle telephone calls efficiently to support team communication.
- Prepare and type letters and reports, ensure clinical data is accurately updated, and manage the processing of referrals and discharges to maintain seamless patient care.
- Support data quality initiatives by using databases and spreadsheets to ensure accurate and reliable data management.
- Gather and maintain staff records, manage the ordering of stationery and supplies
- Carry out a range of general administrative tasks as directed by the management team to support the overall functioning of the team

### Detailed job description and main responsibilities

The Band 3 Perinatal Team Administrator plays a key role in supporting the smooth day-to-day running of the service, managing their own workload within agreed guidelines. The postholder will act as one of the central points of contact, responding sensitively and efficiently to enquiries from patients, families, clinicians and external professionals. Responsibilities include coordinating referrals, discharges, appointments, maintaining accurate electronic patient records, and supporting data collection on care systems. The role also involves preparing correspondence and documentation, managing incoming communications, and providing flexible administrative support across the team to ensure high-quality, patient-focused care.
