### Job summary

Chiltern House Medical Centre is seeking an experienced Operations Manager / Assistant Manager to join the team on a permanent, full-time basis. The post holder will support the day-to-day operational management of the practice, ensuring the smooth running of clinical, reception and administrative services while maintaining high standards of patient care.

The role involves supporting the practice leadership team, overseeing daily workflows, coordinating reception and administrative functions, and ensuring effective communication and collaborative working across the surgery. The successful candidate will play an important role in maintaining efficient operations, supporting staff performance, and contributing to continuous improvement across the practice.

The ideal candidate will have strong experience within a GP surgery or primary care setting, with a good understanding of practice operations, staffing, compliance, and patient services. Experience with EMISis highly desirable. The role requires strong organisational and leadership skills, a proactive approach, and the ability to manage competing priorities effectively.

### Job responsibilities

- Oversee the day-to-day operations of the practice, supporting the Business Manager and ensuring staff meet their responsibilities. Provide leadership, line management, appraisals, recruitment, induction, training, and absence management for reception and administrative staff.
- Act as HR lead, ensuring compliance with policies and procedures, maintaining training and appraisal records, managing DBS checks, annual leave via TeamNet, and supporting staff development.
- Manage the clinical system and IT processes, including user access and security for EMIS Web. Support staff with searches, audits, templates, rotas, and resolve local IT issues.
- Lead governance and operational compliance, including significant events, audits, complaints management, risk management, health and safety, fire safety, COSHH, PAT testing, legionella, and waste management.
- Oversee premises, assets, insurance reports, smart card sponsorship, PPG meetings, and liaise with external stakeholders, deputising for the Business Manager when required.

### Experience

**Essential**

- Experience working with the general public;
- Experience working in a healthcare setting;
- Relevant health and safety experience;
- Experience in performance management, including appraisal writing, staff development, and disciplinary procedures;
- Experience in workforce planning.

- Experience in leading multidisciplinary teams;
- NHS / Primary Care General Practice experience;
- Experience in producing agendas and minutes for meetings;

### Qualifications

**Essential**

- Good standard of education with excellent literacy and numeracy skills;
- Leadership and / or Management Qualification;

**Desirable**

- AMSPAR Qualification;
