The post holder will provide support to the Deputy Head of Operations and Operational Managers with the Head & Neck Care Group. The post holder will manage secretarial/administrative staff.

The successful candidate will have experience of clinical administrative systems and ideally some experience of managing staff and a good understanding of the priorities of the NHS./ **Please note this vacancy will close once sufficient applications have been received** Previous applicants need not apply

### Main duties of the job

The Office Manager will manage secretarial/administrative staff to provide and efficient and effective service.

The post holder will participate in the development of corporate objectives, policies and strategic plans. The post holder will be expected to organise their own workload and that of the divisional secretarial/administrative teams.

The post holder will be responsible for all aspects of office management and assisting in the management and supervision of medical secretary and clerking staff within the department. The post holder will need to possess excellent management and interpersonal skills. They will be required to manage their own workload effectively without direct supervision, and also maintain the efficient, effective running of the care groups secretarial support teams. The post holder must be able to demonstrate a high degree of competence with regard to a wide range of secretarial and administrative duties including the use and application of information technology. The post holder must have an in-depth knowledge of RTT and Cancer Waiting Time Standards. The Post holder will play a key role in ensuring patients are scheduled in line with theatre scheduling standards. It is essential to possess excellent organisational, interpersonal and communication skills and to work to tight deadlines.

### Detailed job description and main responsibilities

To manage the recruitment and workload of Admin Staff. To ensure all Admin Staff undergo Mandatory Training and participate in Performance Appraisals. Manage an identified Budget. Monitor Departmental Budget (Trust) Check clinical lists. Attending Team Managers Meetings. Undertake Sickness / Holiday Returns of Admin Staff. Maintaining Spread sheets and other identified databases. Typing of reports and correspondence. Training Admin Staff in use of hospital Computer Systems. Requisition goods and supplies Collating information and statistics for Senior Manager and Team Managers. Take responsibility for day to day maintenance within the Department - Support Cancer/RTT targets for the department

### Skills

**Essential**

- Excellent interpersonal and communication skills
- Ability to establish and maintain professional relationships internally and externally
- Ability to organise own work and to demonstrate initiative required to ensure all tasks are complete
- Ability to undertake training of Admin Staff within the department

### Knowledge

**Essential**

- Finance Management – Knowledge of NHS budgetary / financial procedures
- Knowledge of NHS policies
- Understanding of the requirements of Data Protection and Patient Confidentiality

### Experience

**Essential**

- Demonstrable experience in managing a Team of Staff
- Extensive experience administrative / clerical gained in a busy office environment
- NHS experience
- Experience of using Hospital IT systems
- Experience of working in a Customer / patient focused environment
- Recent experience to demonstrate proficiency in Microsoft Word, Excel and Access
- Experience of independently managing a varied workload to meet demanding deadlines

### Qualifications

**Essential**

- RSA level 3 or equivalent
- NVQ Level III Business Administration/equivalent
- Introduction and Intermediate Level Word, Excel and Access Certificates

### Other Requirements

**Essential**

- Comply with Trust policies and procedures
- Ability to show understanding and appreciation of the need to maintain confidentiality in all matters – Data Protection Act
- Ability and willingness to undergo further training in accordance with the needs of the post
