This is exciting an opportunity for a highly motivated and enthusiastic individual to join the neonatal team. This is a newly created post which would suit a conscientious and adaptable person to work with the service.

Experience of providing administrative support is essential. Previous experience in a healthcare setting would be an advantage however full training will be given on our in-house IT systems.

Applicants should be able to demonstrate excellent organisation skills, the ability to work on their own initiative as well as part of a team and an ability to prioritise and problem solve. The role ideally suits candidates looking for a career in healthcare administration with a keenness to learn. Applicants should display excellent communication skills as the post holder will be liaising with staff at all levels. This is an excellent opportunity for the right candidate to join our team. Please note this post will be required to work on site.

### Main duties of the job

- Day-to-day reviewing of the production of accurate and timely rotas and timetables for Neonatal Nurses, Neonatal support workers, the Transitional care team, ward clerks and student nurses working within the neonatal unit and transitional care.
- To create and oversee orientation plans for new ward clerks.
- Key responsibility in providing administrative support in relation to the working patterns of neonatal and transitional care staff in the department, as well as supporting with the administration relating to sick leave, special leave, holiday planning and attendance management.
- To review, amend and cover the rotas on a day-to-day basis, ensuring cover is provided in the event of sickness and absence and appropriately deploying staff as necessary, under the guidance and supervision of the Matron in charge to ensure safe staffing levels.
- To ensure unresolved rota issues are escalated appropriately to the Matron or ward manager.
- To calculate annual leave entitlements and ensure the accurate recording of these and other types of leave onto eroster.
- To provide a monthly report to the matron from Health Roster demonstrating monthly fill rate, sickness, and maternity percentage across the rosters. This informs the safety report which is presented to the Trust board monthly.
- To act as a point of contact for all rota queries for neonatal and transitional care team.

### Experience

**Essential**

- Significant office experience, knowledge and competent use of Word and proven use of excellent Excel skills.
- Has worked in a role requiring strong customer focused approach to work and some judgement in decision making.
- Problem solving for area of work.

**Desirable**

- Experience of supervision of staff
- Experience within NHS, Medical or other educational environments.

### Qualifications

**Essential**

- 5 GCSE or equivalent passes (Grade A-C or 4-9) to include English and Maths.
