This post is for an Assistant Service Manager in Medicine where the post holder will be expected to support the Service Manager in the day to day running of the Services in that aligned CSU. The post holder will need to demonstrate initiative, attention to detail, relationship building, communication, team working, data analysis and problem solving. Ideally, the post holder will have knowledge of the NHS, operational targets such as Referral to Treat and Diagnostics, management or understanding of patient pathways and strong computer skills.

To provide routine secretarial and administrative support to the Advanced Multiple Sclerosis (MS) Nurse Practitioner, contributing to the effective delivery of services for patients across Milton Keynes.

The post holder will provide day-to-day administrative support to the Advanced Nurse Practitioner, helping to ensure the smooth running of the MS service and enabling clinical staff to maximise their time with patients living with Multiple Sclerosis.

Duties will include filing, photocopying, scanning, and organising clinic notes, typing routine correspondence, taking and passing on messages, and maintaining an organised office environment. The role will also involve booking appointments, updating patient information on relevant systems, and supporting general administrative processes within the team.

The post holder will assist with maintaining the service outcomes database and ensuring information is recorded accurately on electronic systems, in line with local procedures. Basic computer skills are required, including the use of Microsoft Office applications such as Excel, with training provided where necessary.

### Detailed job description and main responsibilities

Clerical Duties:

- To work as a member of the MS Administrative team to provide daily assistance to the MS Specialist nursing team giving confidential administrative support.
- To assist the Advanced Nurse practitioner in all administration duties relating to the day-to-day running of the service.
- To support the Advanced nurse practitioner in the service delivery, which is safe, effective, and responsive.
- To assist in maintaining required levels of access at all times, for patients and referrers of the specialist service.
- Provide a high standard of administration and secretarial support to the service by typing correspondence and reports, organising meetings, maintaining diaries and managing a comprehensive filing system; carry out other duties as may be required for the effective operation of the service.

Specific to role:

- Answering calls - speaking to patients, collecting relevant information ie: identifiable details, medication, consultant, diagnosis, reason for call and directing to nurse as appropriate-log on data base.
- Monitoring emails - collecting relevant information ie: identifiable details, medication, consultant, diagnosis, reason for email and directing to correct consultant/nurse as appropriate-log on data base.
- Nurse clinic appointments – making appointments for clinic, informing patients over the phone, re-arranging clinic appointments. Scheduling appointment from request clinic lists- checking patients clinical outcome forms and consultant letters for appropriateness of appointments. Printing clinic lists.
- Telephone consultation slots – Entering calls into scheduling appointment slots within the time frame.
