### Job overview

The post holder will provide an effective and efficient administrative service to the MHCAS and Liaison Services within the Hospital Division.

The postholder will need to demonstrate a high level of prioritising and organisational skills and be able to use initiative to develop office support systems as required, and to organise their own workload to meet Trust and local requirements, adjusting priorities as necessary in negotiation with the department and administration managers.

The job will involve liaison between colleagues at all levels, both inside and outside the Trust, as well as with service users and carers. The postholder will be expected to identify threats to the service offered to service users or to the Trust and to contribute to improving systems and processes.

All administrative staff are expected to support the reception function when required by providing excellent customer service at all times.

### Main duties of the job

The successful candidate will work closely within the multi-disciplinary team, ensuring that effective and efficient administration support is provided.

You must be experienced, dedicated, reliable, proactive, and a flexible individual who is assertive and take the initiative in anticipating the needs of their teams.

You should be able to work autonomously as well as part of a team.  Along with being able to demonstrate good verbal and written communication skills.

It is essential that you have experience in minute-taking  and using  Excel (intermediate level) along with good attention to detail.

### Detailed job description and main responsibilities

Some of the key tasks in this role will be:

- To maintain and submit key performance data within strict timelines
- Processing of patient details
- Distribution of documentation to GPs against set standards
- Data entry on our Electronic Patient Records (EPR) system
- To support Business/Team Meetings (preparing agendas, taking and distribution  of minutes)
- To provide support with/lead on audits
- Procurement
- General administrative functions

## Person Specification

### Qualifications

**Essential**

- NVQ Level 3 / AS and A level or equivalent relevant practical experience / qualifications
- Good knowledge and proficiency of Microsoft packages to include Word, Excel, PowerPoint, Outlook
- Substantial experience in an administrative role

### Skills/ Abilities

**Essential**

- Accurate entry and retrieval of information on database systems.
- Diary management.
- Demonstrate the ability to respond in a flexible manner to competing demands of the service, teams’ and individual workload.

### Experience / Knowledge

**Essential**

- Substantial experience in an administrative role
- Experience of servicing/minuting meetings.
- An understanding of relevant legislation e.g. Health and Safety, Data Protection, Confidentiality

**Desirable**

- Experience of working in the NHS
- Understanding of the needs of mental health service users.
