### Job overview

We are looking to recruit two band 3 medical secretaries within the Bristol Royal Hospital for Children. One for General Paediatric Medicine and the other for Paediatric Haematology, Oncology and BMT.

For each post we are looking for an experienced, enthusiastic and dedicated individual to provide an effective and efficient secretarial service to that department. The post holder will have a range of secretarial/PA experience, ideally in a hospital environment, though other administration/PA experience will be considered.

### Main duties of the job

Working in a busy and sometimes demanding role, within a supportive team, they must be a good team player and enjoy working within a multidisciplinary team. The applicant should have good organisational and interpersonal skills and the ability to work well under pressure. As the post deals with patients, relatives and healthcare professionals on the phone, and occasionally face to face, applicants must have excellent communication skills and will be expected to have a courteous and efficient telephone manner. They need to have a good working knowledge of Microsoft packages, including Word, Excel and Outlook.

This includes having a qualification (pass or distinction) in audio transcription or word processing at RSA stage II or an equivalent governing body. ### Detailed job description and main responsibilities

The postholder will be responsible for providing an efficient administrative and secretarial service to support clinical teams in delivering high quality patient care. The role involves managing clinical correspondence, maintaining patient records, communicating with patients, families and healthcare professionals, and supporting the smooth running of services, whilst ensuring confidentiality, accuracy and excellent customer service.

### Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

### Experience

**Essential**

- Experience of dealing with the public, both on the telephone and in person

**Desirable**

- Previous NHS experience
- Clerical/administrative experience
- Understanding of medical terminology

### Education and qualifications

**Essential**

- Business and Administration Level 3 NVQ or equivalent experience
- Educated to GCSE, grade C or above (or equivalent) in English Language and Maths

### Knowledge, skills and abilities

**Essential**

- Effective and polite manner when dealing with people, both face to face and on the phone
- Able to work under pressure and meet deadlines whilst maintaining a high standard of accuracy
- Ability to work effectively in a busy team, adjust to change and motivate others
- Ability to work on your own, using your own initiative, if required
- Confidence to handle difficult conversations with patients, relatives and carers
- Ability to adapt to use new computer packages and programmes
- Effective organisational skills
- Good IT skills including Microsoft packages
- Attention to detail
