### Job summary

An exciting opportunity has arisen to join the Haematology Department at Bexley Wing, St James's Hospital, as a Medical Secretary. We are recruiting for two full-time vacancies (37.5 hours per week) to support the Haematology, Haemophilia, Thrombosis and VTE services.

### Main duties of the job

Working closely with Consultants, medical staff, specialist nurses and the wider multidisciplinary team, you will provide high-quality secretarial and administrative support, including audio typing, proofreading clinical correspondence, coordinating MDT meetings, managing patient pathways and maintaining accurate patient records.

The successful candidates will have excellent organisational and communication skills, with experience of secretarial or administrative work, audio typing and Microsoft Office applications. Knowledge of patient administration systems, such as PAS/PPM, is desirable. This is an excellent opportunity to join a supportive team committed to delivering high-quality, patient-centred care to patients across Leeds and beyond. Please note: A proofreading and audio typing assessment will form part of the interview process

The Haematology Department is based within the Bexley Wing at St James’s University Hospital, one of the UK's leading centres for the treatment and management of malignant and non-malignant blood disorders. The service provides specialist care across a wide range of conditions, including haematological cancers, haemostasis and thrombosis, haemophilia, and venous thromboembolism (VTE), serving patients from Leeds and the wider Yorkshire region.

The service forms part of the Oncology Clinical Service Unit (CSU), which includes Haematology, Medical and Clinical Oncology, Specialist Palliative Medicine, Breast and Endocrine Surgery, Thoracic Surgery and Gynaecological Oncology. Together, we provide expert care in a supportive and inclusive environment, dedicated to improving the health and wellbeing of patients across Leeds and beyond

### Skills

**Essential**

- Using Microsoft office packages including word, excel and PowerPoint
- Prioritising and managing workload to meet deadlines (essential)
- Use of patient information systems, such as PAS.
- Using patient information systems such as PAS (essential) and PPM (desirable) or the ability to quickly develop this knowledge in a short time frame.
- Liaising with a variety of sources to provide information when required
- Interpersonal and communication skills.

- Use of tact, diplomacy and sensitivity with wide range of people and in various situations.
- Ability to deal with enquiries in an appropriate and supportive manner.

- Use of PPM and other department-relevant systems e.g. Mosaic
- In some specific cases additional system knowledge would be considered desirable e.g. using Mosaic within the Oncology & Physics teams.

### Knowledge

**Essential**

- A broad understanding of medical terminology and its use within clinical correspondence
- Understanding of customer care principles.
- Knowledge and application of the Data Protection Act in relation to patient confidentiality and the appropriate care of patient information.
- Understanding of relevant Trust standards and other NHS waiting time standards e.g. 5-day turnaround of clinical correspondence, 18-week wait for patients

### Experience

**Essential**

- Secretarial experience (essential)
- Previous healthcare experience

**Desirable**

- Dealing with internal and external enquiries originating from a variety of sources including but not limited to: staff in other Departments, patients, staff in GP surgeries (desirable)

### Personal Qualities

- Adaptability and willingness to learn skills associated with the role as may be required

### Qualifications and Training

- Audio typing/Word Processing Skills RSA II or equivalent experience
