An exciting opportunity has arisen for a Management Secretary to support the PA Team in Acute & Integrated Community Care.

We are looking for a  highly motivated and enthusiastic person to provide support to the team. This is a new and developing role within the Directorate Administration team to support Operational Managers, Matrons and Ward Managers.

The candidate will need to be able to prioritise their own workload and provide full administrative support requiring excellent communication skills and the ability to use their own initiative. The candidates will also need to have strong organisation skills and will be required to work as part of a multi-disciplinary team.

Hours per week: 37.5

### Main duties of the job

Provide a comprehensive confidential secretarial support service to the Directorate Management team, Matrons and Ward Managers

Electronic diary management, organising appointments and meetings

Management of meetings as required.  This may include facilitating teams meetings and taking notes for a range of service level meetings, preparing draft agendas and cascading relevant documentation.

Proficient in the use of IT systems i.e. Word, Excel, Powerpoint and Outlook with the ability to maintain and update data, format documents as required

Record ESR information on behalf of Clincial staff

Management of the Senior Sister in box and support as required.

Maintaining the central filing system and archiving of relevant material

Undertaking of routine administration duties such as distributing and despatching mail, photocopying, responding to emails

Typing of correspondence, meeting notes and other documents

Ordering of stationery as directed using SBS and other Trust systems

Answering of phones and dealing with enquiries or take messages to pass to the appropriate person to respond

Open management mail where necessary, some maybe of a confidential nature

Maintenance of the electronic filing system

To work collaboratively with the Operational Management Team to help deliver an efficient and effective service

To cross cover and support the PA team in times of absence

Collating information as directed to support the management team

Liaising with internal and external personnel
