This is an exciting opportunity to join our Specialist Lymphoedema Service as a key member of the team, providing maternity leave cover in a varied, fast-paced and rewarding role.

As the central point of coordination for administrative processes, you will oversee and manage all aspects of the patient pathway, working closely with clinicians and a wide range of partners across the health and care system.

You will be responsible for coordinating the day-to-day business and administrative functions of the service, including managing clinical diaries and clinics, arranging patient prescriptions, and ordering specialist garments and equipment.

It is ideal for a proactive, highly organised individual who enjoys making a meaningful difference behind the scenes and thrives in a collaborative healthcare environment.

### Main duties of the job

Independently manages and coordinates the administrative, operational and service delivery functions of the Lymphoedema Service, ensuring an efficient, patient-centred service with minimal supervision. Key responsibilities include:

- Service Coordination & Administration: Overseeing clinic scheduling, diary management, staff allocation, waiting lists, referrals, patient bookings, meetings, training events, and maintenance of accurate records within SystmOne and other systems.
- Patient & Referrer Support: Acting as the first point of contact for patients, carers, clinicians and external agencies, managing enquiries, signposting, referrals, and escalating clinical concerns appropriately.
- Waiting List & Caseload Management: Monitoring referrals and waiting lists, investigating delays or breaches, undertaking caseload reviews, and ensuring timely patient follow-up and appointment allocation.
- Clinical Service Support: Coordinating clinics, home visits, equipment prescriptions, transport, interpreters, and communications with patients.
- Resource Management: Ordering clinical and office supplies, managing equipment processes, maintaining service documentation, and ensuring administrative systems and guidance remain up to date.

- Must hold full and valid driving licence and have access to a vehicle

- Proven experience of working in a senior secretarial/reception position in a busy office
- Proven ability to demonstrate systematic approach to prioritisation or work and cope under pressure to meet deadlines
- Professional contact with the General Public
- Customer Care experience
- Proven ability to organise and service meetings

- Excellent verbal and written communication skills

### Qualifications and Training

- GCSEs in English and Maths at grade C, or equivalent. Higher level of education (e.g. NVQ level 3 or ‘A’ levels at minimum grade C, or equivalent experience)
- Good general standard of education
- NVQ 3 Business Administration or equivalent experience
