### Job summary

We have a new opportunity to join a successful and hard working GP Practice as an IT Assistant. The position involves working alongside the existing IT Team to support the IT Manager in managing the practices IT systems and all aspects of keeping the patient database and patient records up to date and accurate.

### Main duties of the job

Main duties are the processing of documents received via email, electronically via systmone and post. Information is also received via tasks sent internally via systmone. This includes dealing with some pathology tasks.

Cervical screening recall and follow up.

Responsible for entering Child Protection data.

Dealing with letters involves processing the documents to attach to patient records and recording any relevant data and diagnoses as appropriate. Also triaging documents as appropriate to different depts, ie Clinicians, secretaries, prescriptions, reception etc,

Responding to queries from various outside agencies and providing information as necessary.

Working closely with various teams within the practice and assisting staff as necessary with medical queries related to patients records.

Other responsibilities may include troubleshooting IT problems and identifying solutions. Where appropriate, report IT faults to third party suppliers helpdesks.

Knowledge of S1 is preferred although full in house training will be given.

Working days would be Mon, Wed, Thurs and Friday

Our practice includes 11 GPs, 7 Nurse Practitioners, 10 Nurses and 3 HCA plus admin staff in various departments working over 3 sites. Two sites in Low Grange Health Village and one site Manor House in Normanby.

We are a friendly and successful GP Surgery and have been providing care for over 40 years. A lot of our staff have been working alongside each other for 15 years at least and some over 30 years.

We have a good work ethic and enjoy working as a team.

### Job responsibilities

Job Responsibilities:

Managing databases

- Assist in the setting up of new users according to practice protocol, ensuring they have access to required applications
- Troubleshoot IT problems and identify solutions. Where appropriate, report IT faults to appropriate supplier’s helpdesk
- Ensure all users are aware of any changes or updates in the operating system or the software used within the practice.
- Ensure templates and searches are up to date and accurately entered within appropriate time frames.

Links

- Register and deduct patients on a daily basis and ensure patients’ details are accurate
- Liaise with Primary Care Support England and keep GP links updated
- Collate new notes and prepare for A4/summarizing/GP2GP veryfying
- Summarising notes to the practice standard
- Liaise with outside agencies re electronic data eg Lab Links, hospitals etc
- Cervical screening recall and Followup
- Responsible for entering Child Protection data

Data entry

- Enter diagnoses, test results and consultation data into patient records ensuring accuracy and compliance with current SNOMED code policy
- Advise the IT Manager/Practice Manager of any problems arising from data entry

Audit

- Run contract and clinical searches and reports when requested
- Keep up to date with QOF requirements and support clinicians in the implementation of QOF.

Data protection

- Ensure security of data in accordance with the Data Protection Act

Other duties

- Any other duties commensurate with skills and responsibilities which includes deputising for IT Manager when on holiday.

## Person Specification

### Experience

**Essential**

- Experience working within the Health Care Section
- Ability to work in a team and be able to work alone if necessary.
- Willingness to learn new things.

**Desirable**

- Enthusiasm, using your initiative, good communication skills and friendly telephone manner are desirable. Being able to multi task and prioritise workload is a must.

### Qualifications

**Essential**

- GCSE English and Maths A to C is essential

**Desirable**

- Any qualifications gained within the Health Care Section would be advantageous.
