### Main duties of the job

- Provide administrative and digital support to the 0-19 Service.
- Support delivery of 0-19 projects and service improvement initiatives.
- Act as the first point of contact for project-related enquiries.
- Manage service social media accounts and website content.
- Create project case studies, reports, and supporting documentation.
- Organise and support meetings, including agenda preparation, minute taking, and follow-up actions.
- Support ordering, invoices, and budget-related administration.
- Coordinate diaries, meetings, venues, and stakeholder communications.
- Maintain project records, plans, risk information, and documentation.
- Monitor and manage shared mailboxes, Specialist SharePoint site and service communications.

### Detailed job description and main responsibilities

- Deliver a comprehensive administrative service to the 0-19 Service.
- Provide project support across multiple workstreams, ensuring project information is accurate and maintained to deadline.
- Assist the team with planning, reporting, risk management, issue escalation, and project closure activities.
- Develop and maintain project documentation, reports, project plans, and processes.
- Coordinate meetings/training involving large groups of staff and external partners.
- Use Microsoft Office, Microsoft Project, Canva, Sway, finance, and risk management systems to support service delivery.
- Support organisational change and service developments within the Family Health & Wellbeing Service.
- Work independently, managing competing priorities and deadlines with minimal supervision.
- Maintain accurate project records, databases, and documentation.
- Produce reports, project updates, correspondence, and presentations.
- Plan and coordinate meetings, venues, resources, and stakeholder attendance.
- Take, transcribe, and circulate meeting minutes and action logs.
- Manage diaries and schedules for project and service activities.
- Monitor the service website and publish regular social media content.
- Coordinate project communications and respond to enquiries.
- Support procurement, ordering, invoice tracking, and financial administration.
- Analyse information, identify potential issues, and maintain quality and consistency in project data.
- Prioritise workload effectively across multiple projects and deadlines.
- Contribute to process improvement and the development of efficient administrative systems.
- Support induction and guidance of new staff where required.

## Person Specification

### Experience

**Essential**

- - Competent in the use of word processing, internet and Microsoft office packages – Word, Excel, PowerPoint, OneNote
- - Experience of communicating with people across all levels.
- - Providing a full service to meetings, including minute/accurate note taking.

**Desirable**

- - Experience of working within a similar role.
- - Experience of working with Microsoft Project
- - Experience of E-Procurement
- - Has current or previous experience of working within Universal Services -Children’s and Families Care Group

### Qualifications

**Essential**

- - Minimum 3 GCSEs at Grade C or above, including English Language and Mathematics
- - NVQ Level 3 in Business Administration

- Ability to work under pressure and meet deadlines and to prioritise/organise workload
