The role:

The post holder will be part of NHS Greater Glasgow & Clyde’s (NHSGGC) Facilities team, working within the Queen Elizabeth University Hospital Helpdesk and administration service. The post holder will complete a variety of admin and clerical tasks and will support the facilities management team. The post holder can be asked to cover reception duties in Adult and RHC, as and when required. The post holder must have excellent communication and organisational skills, have good interpersonal skills and be able to work under pressure, including the need to frequently re-prioritise tasks. You must have a positive, can do attitude and be able to work as part of a very busy department. You must have a strong work ethic, and have the ability to fully understand that all tasks are essential and need to be carried out in a safe manner to a very high standard. You will receive any essential training required, to carry out this role during your induction.

Duration, Location, and Working Pattern:

- Location based in Queen Elizabeth University Hospital
- Part-time position (19.20 hours per week)
- Permanent Contract
- Shift pattern for this post are 2 week Rota:

Week 1: Mon- Fri 9am -1pm

Week 2: Mon-Fri 1pm -5pm

- Please note the salary is Pro Rata for part time hours.

Key responsibilities:

- Receive and process telephone requests for emergency Estates jobs and service requests for soft fm services such as linen requests, pest control, ad hoc portering requests, confidential waste pick up etc. ensuring passed to Manager/Supervisor.
- Reporting and progressing general requests and enquiries and transcribe information from telephone based voicemail calls.
- Ensuring all internal and external telephone requests or enquiries are dealt with in an efficient, effective and professional manner.
- Operate and monitor the facilities/estates software system (FM First), providing customer feedback on reported defect progress on request. Tracing jobs where job numbers have been mislaid/lost.
- Proficient in the use of the Health Board’s email, voicemail systems and internal and external paging system.
- Dealing with requests/compliments/complaints from managers (all levels), staff, visitors, patient clinical and non-clinical staff, customers and contractors enquiries via the front desk.
- Responsible for issuing ID badges for all QEUH/RHC and other units who require access to hospitals i.e. Updating electronic ID request form, diarising all appointments, checking information and inputting data, taking photographs and printing off ID badges, recording, logging and filing information and allocation of badges. Ensuring correct access level has been applied to member of staff.
- Input all job request/complaints etc in call logging system ensuring job number is assigned to each call logged and assign jobs to the relevant department prioritising requests as appropriate. Ensure follow up calls for any outstanding jobs to ensure job closure.
- Monitor the critical and medical gas panel alarms as part of the existing Building Management System and where appropriate initiate the specific standard operating procedure relevant to each activation.

- Excellent knowledge of Geographic’s of hospital site
- Excellent knowledge of all support services provided within site
