### Job overview

The post holder will be working within the Capital Team which at any one time could be managing a portfolio of up to 200 construction projects of various sizes and at differing stages in their lifecycle. The major projects, and many of those at QMC which must comply with the requirements of the Building Safety Regulator, require stringent management of project documentation and maintenance of the ‘golden thread’ of information. The post holder will primarily be responsible for maintaining this information.

The role of the Document Controller is therefore to manage, maintain and oversee Capital Projects documentation and workflows in a Common Data Environment (CDE), ensuring compliance with ISO19650 standards and UK BIM framework.

To lead on data assurance, technical documentation handling, and digital collaboration tools such as Viewpoint and Aconex. This role ensures all capital project documentation is version-controlled, accessible, compliant, and updated throughout the lifecycle of projects.

The post is office-based, initially at City Hospital campus, and may involve travel between Queen’s Medical Centre and other NUH Sites.

There will be a requirement for face-to-face coordination between the Document Controller and the Project Managers for whom documentation is managed, and occasional visits to construction sites. However, given that data entry and document management is desk-based, it is envisaged that there may be some opportunity for hybrid working when appropriate

### Main duties of the job

This includes but is not limited to:

Lead and administer the Trust’s document control platforms for storage and dissemination of whole project design data (e.g., Viewpoint, Aconex) as a Super User, creating entire project structures, workflows, and access/security groups.

Maintain accurate and complete documentation across all specified projects, defining and ensuring appropriate naming conventions, metadata, and revision history.

Create the structure for maintaining and updating the documentation required as the ‘golden thread’ for projects needing to comply with the requirements of the BSR and compile these in the format required for final BSR approval and distribution to the appropriate persons on completion of the projects.

Monitor and maintain workflows in the CDE to ensure actions are completed by relevant reviewers within defined timeframes.

Advise users and report to Project Managers if defined timeframes are being exceeded.

Conduct daily quality control audits on incoming/outgoing drawings and documentation, ensuring that errors are reported back to designers as appropriate and corrected.

Make judgements about suitability of information to meet users’ needs, resolve issues concerning access to and problems with information systems.

## Person Specification

### Experience

**Essential**

- Extensive experience with Viewpoint (4Projects) and Aconex platforms
- Expertise in ISO 19650 standards and digital workflow compliance.
- Strong reporting and data analysis skills.
- Excellent organisational and version-control practices.
- Skilled in Microsoft Office Suite (especially Excel and Outlook).

**Desirable**

- Experience of working within a construction environment, preferably within a healthcare setting
- Experience in managing capital project documentation in large, complex organisations.
- Experience of working on Estates & Facilities related capital projects systems.
- Experience gained in working within a large and diverse organisation.

### Communication

**Essential**

- Excellent communication skills to collaborate with stakeholders across internal departments and external consultants and contractors.
- Ability to interpret technical documents and translate content for non-technical stakeholders
- Excellent written and verbal communication skills
- Ability to communicate professionally and compassionately with a wide range of stakeholders
- Able to relay complex or sensitive information clearly and appropriately.
- Experience in preparing meeting documentation, action logs, and following up on outstanding items
- Confident in communicating complex information with all levels of staff within the Trust.
- Proven ability to build positive relationships through excellent oral and written communication.
- Strong interpersonal skills and the ability to build relationships at all levels

**Desirable**

- Thorough understanding of the implications of introducing new technology into business processes, the opportunities they create and the resistance to change that may arise
- Proven ability to train others in specialist systems.

### Training & Qualifications

**Essential**

- Understanding of relevant legislation eg data protection plus information & library knowledge acquired through degree or equivalent experience

**Desirable**

- Knowledge and understanding of healthcare standards such as Hospital Building Notes (HBN’s) and Hospital Technical Memoranda (HTM’s).
- Knowledge of construction processes, techniques and terminology.
