Divisional Administrator - 22 hour post

An administrative role supporting the Dolphin out-patient department with clinic bookings and preparation and providing administrative support to the Division, including the Governance team. The role routinely involves working autonomously and using own judgement/ knowledge to support the smooth running of the service. To play a key role in dealing with enquiries from patients and staff members from both internal and  external organisations.

### Main duties of the job

The postholder will be responsible for the following tasks: -
- To support with the management of the out-patient waiting list for new and follow-up appointments,  escalating any potential issues
- To arrange appointments as appropriate following clinical triage
- To monitor and action the Dolphin out-patient mailbox as appropriate
- Regular communication with patients with regards to their appointments, ensuring appointment letters  are sent within a timely manner
- Actively manage patients who do not attend their appointment and seek further advice with regards to  rearranging appointments
- To ensure that clinics are appropriately prepared in advance and available for the clinician
- Communicate both verbally and in writing with external organisations
- Provide direct support/  administrative service for the team, which can involve handling sensitive patient information, always  maintaining confidentiality
- Triage calls from parents and other professionals – recording and escalating these calls as appropriate
- Scanning of results and clinical correspondence
- To provide clerical support to the Governance & Quality Team
- To support in updating the W&C microsite for both Obstetrics & Gynaecology and Paediatrics & Neonates ensuring all information is available and up to date including patient information leaflets
