### Job summary

We are looking for an individual with an excellent eye for detail and exceptional organisation and coordination skills to support our management team in maintaining compliance with and strong oversight of key business areas, covering:

- Finance
- Quality and compliance
- Business continuity
- Service delivery

We are looking for a fast learner, capable of taking basic instruction and using their own initiative to produce high quality, detailed outcomes that align with our way of thinking and our Practice culture.

Previous experience of working with the health sector is not required but may benefit the post-holder.

### Main duties of the job

The post-holder will work closely with the Practice management team, providing comprehensive administrative support to ensure robust management and tracking of:

- Invoices and payments.
- Supplier lists.
- Contracts.
- Bids and funding requests.
- Complaints.
- Incident investigations and reports.
- Infection prevention control audits.
- Quality improvement projects and audits.
- Policy and protocol review and implementation.
- Safeguarding registers.

The primary responsibility of the post-holder will be to log, track, update and escalate all of the above, liaising with relevant individuals within the Practice as well as external agencies and professionals to chase outstanding responses, actions and information/documents.

### Job responsibilities

Delivery of the key objectives of this role will include:

- Creating and maintaining detailed registers and logs using Excel spreadsheets and other database systems.
- Maintaining highly organised electronic files, with clear referencing and version control.
- Presenting findings and updates to managers in a clear, concise and impartial manner.
- Liaising with internal and external individuals and organisations, electronically and verbally.
- Chasing information and documentation.
- Carrying out assessments and audits, within own scope of competence and/or alongside other members of the team (e.g., assisting the Infection Prevention Control lead to carry out IPC audits).
- Assisting other members of the team to track and keep on top of actions and outcomes.
- Reading through information/documentation received and conveying key information to relevant person(s) within the Practice.

## Person Specification

### Experience

**Essential**

- 2+ years of working in an administrative role.
- Experience of working with databases and handling data.
- Experience of working and reporting directly to senior manager(s).
- Experience of setting up and managing systems of work.
- Experience of liaising with external customers/suppliers/providers.

**Desirable**

- Experience of working in an administrative role within a healthcare setting.
- Experience of working within health and safety.
- Experience of working within finance.

### Knowledge and Skills

**Essential**

- Excellent organisation and coordination skills.
- Excellent attention to detail.
- Excellent communication skills (written and verbal).
- Excellent Microsoft Office skills (Word, Excel, Outlook as minimum).
