The NIHR Clinical Research Facility (CRF) at Oxford Health supports mental health and dementia research aimed at improving patient outcomes and care. We are seeking a proactive and detail-oriented CRF Administrator to provide high-quality administrative support within our growing research team.

You will be well organised, flexible, and able to communicate confidently, calmly and professionally with patients, carers and staff.

This post is based full-time Monday-Friday, 9am-5pm, full time on site at the Clinical Research Facility (Warneford Hospital)

- Provide comprehensive administrative support to the CRF team, including document preparation, correspondence, and coordination of day-to-day activities.
- Coordinate meetings and events, including diary management, arranging logistics, preparing agendas and reports, and taking and disseminating accurate minutes.
- Maintain high-quality data and documentation systems (paper based and digital), including filing, document management, data entry, and supporting reporting processes.
- Support the operational delivery of research activity, including booking systems, study administration processes, and handling confidential research and patient information in line with governance requirements.
- Provide reception and patient-facing support within the CRF, acting as a professional first point of contact for patients, carers, research participants and staff.

## Person Specification

### Experience

**Essential**

- Relevant office administration experience, including experience of arranging and servicing meetings and taking and transcribing minutes.
- Administrative experience in a healthcare environment, such as the NHS.
- Experience supporting routine data collection and maintaining data quality for administrative or service reporting including the regular checking and correction of data held within organisational systems.
- Experience of digital filing systems, e.g. Sharepoint/Teams or equivalent.

**Desirable**

- Administrative experience in a clinical research environment.

### Knowledge Requirements

**Essential**

- Excellent knowledge of Microsoft Office, especially Word, Excel, Outlook and PowerPoint.
- Understanding of information governance and security in relation to patient data.

**Desirable**

- Awareness of current legislation regarding research governance and data protection.

### Contractual requirements

**Essential**

- Commitment to safeguarding and promoting the welfare of children, young people and vulnerable adults

### Qualifications - Academic/Skills/Professional

**Essential**

- Higher Education qualification (i.e. A-Level/NVQ Level 3 standard), or equivalent/previous experience in an Administration Assistant role.

### Further Training or Job-Related Aptitude and Skills

**Essential**

- Proven ability of working in a team environment and delivering team objectives.
- Excellent organisational, time management and administrative skills

**Desirable**

- RSA III Typing/Word Processing, or equivalent.
