### Job summary

We are excited to be advertising for a Band 5 Project Officer with a range of skills and experience to join us in Children and Family Health Devon. This role aligns to our service delivery strategy and will involve providing project support to the variety of service development projects and QI activities.

### Main duties of the job

To work as part of a team to support the planning, monitoring and tracking of project delivery within CFHD's portfolio of responsibility and update all relevant documentation.

Provide wide ranging project support to the team, for example, project / meeting action notes, update project plans, proactively circulate and chase actions and information, send out communications.

Manage document systems on behalf of the teams and where appropriate, set up new systems of managing documents and project processes.

Where appropriate and required, be involved in managing small projects or work steams within programmes or projects as directed by the Project or Programme Manager.

Co-ordinate and provide routine and ad hoc reports, either written or data analysis extracted from information systems.

Lead the planning and delivery of complex efficient meeting schedules, ensuring that all key meetings have appropriate reports provided by key project leads and / or members of the Directorate. Collate and circulate all project information in advance of each key meeting as and when appropriate.

Co-ordinate and manage meetings. This includes taking minutes and action notes, distributing minutes and papers, arranging schedules of meetings and booking venues, organising presentations and occasionally, ordering catering and refreshments

Requirement to travel across Devon to other sites, some work may be required outside of standard of working hours e.g. events support

This post will be providing direct support to the Service Development and Quality Improvement team and to Children and Family Health Devon as part of agreed programme and project work streams. ## Person Specification

### Qualifications

**Essential**

- Educated to Degree Level or equivalent
- Project management qualification or equivalent experience e.g. Prince2 Foundation
- Working as a senior administrator, project co-ordinator or support officer
- Co-ordinating and managing widely attended events and workshops.
- A high level of knowledge and proficiency in using Microsoft Office Word, Excel, Powerpoint, Outlook, Visio
- Excellent Communication Skills : Written and verbal
- Knowledge and understanding of basic change management / service improvement and redesign / project management tools and techniques
- Able to manage competing priorities that emerge when supporting multiple individuals
- Ability to work under pressure and cope with deadlines.
- Presenting information concisely and clearly in a wide range of formats including tabular and graphical data
- Ability to produce clear, accurate and concise minutes and action notes of meetings
- Ability to present to small groups of people
- Able to work across different teams and directorates at any one time, maintaining appropriate levels of confidentiality and dealing with people with tact and diplomacy in challenging situations
