### Job summary

Birchwood Medical Centre is seeking a reliable, flexible and motivated individual to join our friendly GP practice team, providing cover across reception and general office administration.

This is a varied and patient-facing role, ideal for someone who enjoys working in a busy environment and can adapt to changing priorities. You will play a key part in ensuring continuity of service during staff absence, peak demand and operational pressures.

You will be the first point of contact for our patients, delivering a professional, compassionate and efficient service at all times, while also supporting essential administrative functions behind the scenes.

You will work full-time 37.5 hours per week as follows:

Monday - Friday 9.00 am - 5.30 pm (with one hour lunch break)

This role is part of the additional role reimbursement scheme (ARRS), led by NHS England.ARRS roles are recruited to support East Warrington Primary Care Network which comprises three GP Practices.Each individual Practice employs ARRS staff, however on occasions the Network may experience a short staff supply and therefore to ensure business continuity, you may be asked to work across the other Practices within the PCN to ensure a fair allocation and to ensure business runs smoothly for our patients.This would usually be for a short period of time until PCN business resumes to normal.

### Main duties of the job

This role is primarily to provide cover for absent colleagues and will involve working on our busy reception and in our administration office according to need.

You must have a very flexible approach to work as you may at times be required adjust your start time to 8.00 am or finish at 6.30 pm depending on the cover required.

Birchwood Medical Centre is a busy GP practice with 11,000 patients. We have 3 GP partners and 7 salaried GP's, a nurse clinician, practice nurses, a nursing associate, HCA/phlebotomists and an expanding complement of ARRs staff. Our administrative team consists of receptionists, administrators, scanning/coding administrators and medical secretaries.

We strive to deliver the best care at all times for our patients whilst providing a friendly, caring environment for both our patients and staff.

### Job responsibilities

Key Responsibilities

Reception Duties

- Provide a professional and efficient reception service
- Welcome and assist patients and visitors
- Handle patient enquiries both face to face and via telephone
- Book, amend and cancel appointments using practice systems (including SystemConnect)
- Process appointment requests and support triage processes
- Deal with urgent patient needs appropriately
- Hand out
- prescriptions, letters and forms in line with ID and confidentiality procedures

Patient Adviser Role

- Signpost patients to the most appropriate service
- Improve access to care and reduce pressure on GP appointments
- Provide information on services within the practice and wider NHS/community services

General Administration

- Issue repeat prescriptions support prescription processes and related queries
- Manage patient queries via email, online systems, face-to-face and telephone
- Process incoming and outgoing medical records
- Register new patients and explain practice procedures
- Support home visit requests and general admin tasks
- Liaise with external organisations such as Primary Care Support Services

Cross-Cover & Flexibility

- Provide cover across reception and office functions as needed
- Adapt working hours to support service delivery
- Prioritise workload using initiative and sound judgement
- Cover for absent colleagues during annual leave and sickness

Systems & IT

- Use clinical and administrative systems accurately
- Maintain accurate patient records
- Operate the telephone system effectively

Previous GP or healthcare experience is desirable but not essential, as training will be provided.
