### Job overview

North West London Procurement Services (NWL PS), part of Central London Community Healthcare NHS Trust, provides procurement and supply chain management services to organisations across North West London.

The Business Operations Manager will support the Managing Director in delivering high-quality, efficient and effective services across the organisation. The post holder will build and maintain effective working relationships with a wide range of internal and external stakeholders and contribute to a collaborative, inclusive and customer-focused culture.

Working both independently and as part of a multidisciplinary team, the post holder will support business management, risk management, corporate governance and service development activities that contribute to the continued growth and success of NWL Procurement Services.

The Business Operations Manager will help identify and implement solutions that support service delivery and respond to operational challenges. They will assist the Managing Director in achieving organisational priorities and performance objectives through effective planning, problem-solving, communication and stakeholder engagement. The role requires strong organisational awareness, sound judgement and the ability to work across complex systems to support continuous improvement and high-quality outcomes.

### Main duties of the job

- Provide  high-quality management and business support to the Managing Director.
- Support the development and delivery of strategic business initiatives that align with organisational priorities and system-wide objectives.
- Line manage graduate team members, promoting a culture of learning, inclusion and professional development to build capability and support career growth.
- Lead communications and stakeholder engagement activity for the service, ensuring clear, consistent and effective messaging.
- Lead on and contribute to key organisational initiatives by developing practical solutions, identifying and managing risks, and supporting effective decision-making and escalation where appropriate.
- Coordinate and manage complex meeting schedules and governance arrangements, including support for senior leadership meetings, the Shared Services Board and other key forums led by the Managing Director.
- Manage business, administrative and strategic projects across the division, working collaboratively with colleagues and stakeholders to deliver agreed outcomes.

- Management/leadership experience.
- Demonstrated experience of working closely and liaising with very Senior managers including taking appropriate follow up action as required.
- Experience of handling highly confidential and sensitive information.
- Experience and understanding of proven implementation of project management methodologies.
- Proven track record of developing/implementing record management systems and policies, procedures and processes in a business management capacity.
- Experience of drafting briefing papers for senior level meetings, agenda building and providing structure to internal meetings and external meetings.
- Demonstrable experience of monitoring budgets and business planning processes.

**Desirable**

- NHS administrative experience.
- Previous Business Management experience at a senior level.
- Experience of managing or monitoring budgets.

### Skills and Knowledge

**Essential**

- Recognises how contextual factors influence communication, adjusts messaging to suit the audience and manages expectations effectively engaging colleagues at all levels, including from external organisations.
- Excellent administrative and organisational skills and the ability to set up office systems and monitor, review and implement changes to existing working practices.
- Extensive experience of co-ordinating meetings, including collating agendas and action lists, following up on these as necessary.
- Ability to manage conflicting demands and prioritise workload.
- Demonstrates the ability to establish and nurture productive relationships across a wide spectrum of internal and external stakeholders.
- Exhibits strong motivational capabilities to inspire cross-functional collaboration and drive service enhancements, particularly in environments where change may be met with resistance.

- Educated to degree level or equivalent level combination of diploma level education, short courses / training / experience.

- Prince 2 Qualification or equivalent
- Certificate in management or equivalent
