### Job overview

To provide biologics prescription database administration support ensuring high quality and accurate database management. Assisting Consultants, Specialist Nurses and Pharmacists and liaising with patients, to maintain accurate and timely database entry and developing a working knowledge of all the software packages used within the services.

To coordinate the collation of data for audit and research purposes, maintaining a high standard of data quality within the service that includes providing standard reports as required. The Biologics service within the Dermatology Department is supported by a Clinical Lead and 2 Biologics nurses who require administration support to ensure smooth running of the Biologics Service within Dermatology. Including setting up and maintaining clinics using trust systems and ensuring leaves are actioned with any concerns or gaps escalated appropriately.

Supported by the Admin and Pathways Coordinator, the post holder will develop the biologics service, which will lead to good booking practice and the provision of an excellent support mechanism for both patients and clinical teams.

### Main duties of the job

- Provide a comprehensive administrative service to the Dermatology service including participation in a variety of projects as required to aid service developments and/or redesigns.
- Support service meetings, arrange venues, prepare agendas, compile and distribute minutes and notes of meeting.
- Act as a point of contact for attendees, accepting and noting apologies, collation of information for discussion, co-ordination of equipment and hospitality as delegated. Book venues, organise equipment and hospitality as required.
- Prepare relevant documentation and reports for the MDT and other meetings.
- Post holder is required to deal with incoming calls/messages to the Biologics helpline.
- Deal with patient queries where appropriate or ensure the query is dealt with by the appropriate team member.
- Keep up to date all Biologic databases that contain patient information; ensuring all information is correct and recorded accurately.

### Detailed job description and main responsibilities

Utilising CAREFLOW (Patient Administration System) E-Track, EPRO, EVOLVE, ClinicMan, ICE and MS Teams to provide an efficient service for patients, staff and visitors, when required. To utilise other software packages, as required, to maintain records for audit directly relevant to the post. Support the smooth running of the Dermatology and Plastic Surgery Department. Respond to enquiries from clinics and wards (personal and telephone) ensuring good communication and appropriate referrals. Knowledge of the secretarial work within the specialty enabling appropriate support with workloads. Demonstrate initiative tact and ensure confidentiality is maintained at all times. To liaise with patients, consultants/teams, pre-assessment centres, wards, and other departments and communicate with patients, relatives and other hospitals.

## Person Specification

### Knowledge

**Essential**

- Knowledge and understanding of Confidentiality and the Data Protection ACT

**Desirable**

- Understanding and working practice of NHS performance targets including 18-week referral to treatment times

### Experience

**Essential**

- Experience of using MS Office, particularly MS Word/Excel/Outlook
- Previous Secretarial/Office experience
- Experience of working with the public and/or other professionals
- Demonstrate an understanding of customer care/ability to work with sensitive and confidential information

**Desirable**

- Experience of working within the NHS and an understanding of medical terminology
- Experience of using Hospital systems, for example PAS (Patient Administration System)

### Qualifications

**Essential**

- Educated to GCSE level standard English Language at Grade A – C (or equivalent)
- RSA II typing or equivalent experience
- Audio typing qualification or recent relevant experience

**Desirable**

- NVQ II or III Business Administration
