### Job overview

We are seeking a highly organised and proactive Medical HR Assistant to join our Medical HR team. This role is based at Bath NHS House, Bath and is a key role providing administrative support to Guardian of Safe Working.

Working 22.5 hours per week, you will play an important part in maintaining rota compliance, managing exception reporting, and contributing to a positive working environment for Resident Doctors across the Trust.

In addition, you will also provide support to the Medical HR team with Resident Doctor rotations and the Revalidation & Appraisal Officer regarding career‑grade doctor appraisal progress, 360‑degree feedback, and job planning completion as and when required.

Right to Work in the UK   This position is not eligible for Skilled Worker visa sponsorship. Applicants must already hold the legal right to work in the UK at the time of application, as the organisation is unable to support sponsorship for this post.

### Main duties of the job

To support the Guardian of Safe Working with exception reports, board reports and resident doctor forums.

To manage the Resident Doctor exception reporting system, ensuring exception reports are processed within required timeframes.

To provide high-quality support to the Medical HR team, particularly during peak workload periods, including resident doctor rotations, to maintain effective service delivery.

To support the Revalidation & Appraisal Officer, as and when required, with appraisal progress, 360 feedback and job planning for career grade doctors.

### Detailed job description and main responsibilities

Managing exception reports on the e-rota system.

Monitor the Guardian share inbox, action and escalate emails as appropriate.

Facilitate all aspects of the Resident Doctors Forums, and other relevant meetings - this will include booking venues, preparing agendas, taking minutes and chasing action points as appropriate.

Extract information from the e-rota system and HealthRoster and support the Guardian of Safe Working in preparing quarterly and annual board reports.

Raise purchase orders and process invoices relating to Guardian of Safe Working expenditure.

To maintain strict confidentiality of exception reporting data in line with the 2026 contractual reforms, ensuring information is shared only on a need-to-know basis and with appropriate consent.

Support Medical HR colleagues as and when required, particularly around the Resident Doctor rotations, (August, December, February, April).

Maintain accurate career grade doctor appraisal and job planning records

### Skills

**Essential**

- Ability to work positively in a team/ without supervision
- Demonstrates clear understanding of the principles of confidentiality and the need to maintain confidentiality appropriately.
- Good communication skills, with experience of dealing tactfully with people at all levels

### Experience and Knowledge

**Essential**

- Experience of working in the NHS or similar healthcare setting
- Experience of using electronic HR or workforce systems (e.g. ESR or e-rostering systems
- Experience gained taking and recording notes and/or minutes
- Knowledge of Resident Doctor contracts and knowledge of Resident Doctor rotas
- Experience of working in a large, complex organisation, operating within organisational frameworks

**Desirable**

- Experience of working within Human Resources Medical Staffing in the NHS
- Experience of working with Resident doctor contracts and working with Resident doctor rotas

### Education and Qualification

**Essential**

- Educated to Level 3 diploma/NVQ/A Level
- Relevant qualification or administrative experience

**Desirable**

- Graduate or can demonstrate an equivalent level of knowledge
