ACCOUNTABLE TO: Digital Learning and Improvement Lead

### BACKGROUND

HSCNI has established the Equip Programme to deliver a modern, integrated digital solution for HR, Payroll and Finance, replacing legacy systems and supporting the wider HSC reform and modernisation agenda.

Equip is a region-wide transformation programme introducing an Oracle Fusion cloud platform to streamline processes, improve the user experience, strengthen governance and controls, and provide more timely and reliable data to support workforce and service decision making.

As part of Equip, a new Learning Management System (LMS) will provide a single, user-friendly route for staff to access learning, manage enrolments and approvals, support compliance reporting, and improve visibility of learning records across HSC organisations.

### JOB SUMMARY

The post holder will provide administrative and project support to the Equip HR Team, with a particular focus on the Learning (LMS) workstream, assisting the Trust Lead and workstream colleagues in the delivery of readiness activities in an efficient, effective and high-quality manner.

As part of readiness activity for the implementation of the new systems, the post holder will assist with data cleansing of the current HR system (HRPTS) and the current iLMS (LearnHSCNI), and will support the analytics team to provide accurate workforce data to support the programme.

The post holder will demonstrate a commitment to team working, continuous improvement and innovation, with the ability to prioritise tasks effectively.

### KEY DUTIES / RESPONSIBILITIES

Support the delivery of the HR Equip (Oracle) programme, with a particular focus on Learning Management System (LMS) readiness, working closely with the Learning & Talent SME and wider project team.

Assist with data cleansing activities across HRPTS and learning systems, including organisational structures, workforce data and learner records, ensuring accuracy, consistency and readiness for migration to Oracle Equip.

Generate and view reports to validate workforce and learner data, liaising with managers and stakeholders to resolve discrepancies and ensure high-quality data is maintained.

Work collaboratively with HR, Learning & Development and other project workstreams to support aligned data flows, system processes and reporting requirements across the programme.

Provide day-to-day support to the SME and project team, maintain and update project documentation, including action logs, progress trackers, and key updates, ensuring accurate records and clear communication across the programme.

Assist in the planning and delivery of business readiness activities, including the coordination and development of training materials, guidance documents, and user support resources.

Provide routine advice and support to managers and staff on HR and learning system queries, escalating complex issues to the appropriate teams as required.

Deliver high-quality administrative and project support, including diary management, meeting coordination, note taking, report preparation and document management to support the Equip programme.

Liaise with internal and external stakeholders, including training providers and partner organisations, ensuring queries and requests are managed effectively and professionally.

Maintain effective working relationships across HR, OD, and wider programme teams, contributing to a collaborative and professional project environment.

Undertake any other duties appropriate to the role as required under the direction of the Project Lead.
