### Job summary

We are seeking an enthusiastic and organised Band 3 Admin Coordinator to join the Severe Asthma Service within Respiratory Medicine at Heartlands Hospital. Working as part of the Birmingham Regional Severe Asthma Service (BRSAS) MDT, you will provide essential administrative support to help ensure the delivery of a high-quality, patient-centred service.

This is a varied and rewarding role in a busy specialist service where no two days are the same. The successful candidate will support the coordination of patient pathways, clinics, referrals and multidisciplinary team activity, working closely with clinicians, patients, GP practices and external organisations. Strong organisational skills, attention to detail and the ability to manage competing priorities are essential.

We are looking for a proactive and motivated individual with excellent communication and IT skills and previous administrative experience, ideally within an NHS environment. You will be able to work independently, use your initiative and remain calm under pressure while maintaining a high standard of accuracy and professionalism. Experience of working with patient information, managing workloads and delivering excellent customer service would be advantageous.

### Main duties of the job

Key Responsibilities:

*Manage clinic bookings and utilisation to maximise appointment capacity.

*Monitor clinic capacity, waiting lists and patient pathways.

*Process referrals and support triage processes, including patient questionnaires.

*Coordinate appointments, investigations and follow-up activity.

*Liaise with clinicians, patients, GP practices and external organisations.

*Maintain accurate patient records and administrative systems.

*Manage correspondence, emails and telephone enquiries.

*Provide administrative support for the BRSAS MDT, including meeting coordination and documentation.

*Provide some cover for other Admin Coordinators when required.

* And any other tasks defined within the job description

### Experience

**Essential**

- *Experience working with the public and delivering high quality customer service.
- *Experience using Microsoft Office applications (Word, Excel, Outlook).
- *Experience using IT systems for data entry and information retrieval.
- *Experience working in a busy, fast paced environment.
- *Understanding of confidentiality, data protection and information governance requirements.

### Qualifications

**Essential**

- *Good general education, including GCSE English and Maths (Grade A--C / 9--4).
- *NVQ Level 3 in Business Administration or equivalent administrative experience.

**Desirable**

- *IT qualification such as ECDL.
- *RSA Level 3 typing or equivalent experience within administrative environment.
