### Job overview

The role of the Assistant Engineering Support Officer is to support the BEM Department in close cooperation with other Senior (BEM) Engineering and Management staff.

This role will encompass the day-to-day management of the estates assets, planned preventative maintenance (PPM) and training of estates staff. Support will also be provided to Engineers and Managers on contracted maintenance and tenders.

Using the Computer Aided Facilities Management (CAFM) system, PPM is effectively scheduled to prepare for upcoming planned maintenance work.

The role will liaise with Engineers and Managers to allocate resource for planned works. Issue work to Engineers, and Contractors via mobile devices/paper tickets. Monitor and report PPM Performance.

You will support the department with the receipting of invoices and recharges for maintenance works; working with Excel spreadsheets and CAFM systems to track finance spends; working with engineering teams to support contract information.

You will organise and schedule meetings with external contractors and engineers. Provide technical support to the front of office team by dealing with customers at the reception desk, updating online call support system, filing, data input, post and clock cards etc

### Main duties of the job

Provide technical and administrative support to the Hospital Engineers, including providing formal minutes of meetings (such as the HTM safety group, contract review and weekly resource meetings) circulating meeting documents to attendees and tracking performance.

Work with and monitor contracts with external contractors by gathering performance data and reporting these to the Hospital Engineers via the contractor portal.

Work with and respond positively to requests made by other support departments such as the Fire Team, Health & Safety and Compliance Teams, understanding that responses are generally expected within strict time constraints.

The ability to interrogate completed or returned PPMs and remedial tasks, run reports and issue tasks to the workforce using a CAFM system.

Help to ensure that all maintenance records and service management information is fully integrated into the CAFM system, to always enable full utilisation of its functionality.

Maintain statutory and performance records of engineering plant and services in accordance with legislative requirements.

Work closely with the Engineers and Managers for changes and additions to PPMs.

Produce a range of documents - letters, spreadsheets and posters using relevant software packages.

Update staff records using Trust electronic systems, for example sickness updating on Health Roster.

Support with Health Roster clocking in/out exceptions management.
