An exciting opportunity has arisen for an enthusiastic and motivated Band 2 Administration Assistant to join our Integrated Community Occupational Therapy North Team.

You will provide a quality administration/appointment booking service within the Integrated Occupational Therapy Team (ICOTT), dealing confidentially, efficiently and courteously with enquiries from both internal/external customers, by telephone and digitally.

You will have a good, demonstrable level of proficiency using different IT systems and will work closely with clinical and non-clinical staff as required to support with essential administrative tasks.

You will be expected to work without direct supervision, prioritise own workload, work on own initiative, manage time effectively and work well under pressure. The role is varied, requires confidentiality, initiative, flexibility and capacity of handling peaks in the work programme and an ability to relate to a wide range of individuals on behalf of MPFT. This is a busy environment to work in with constant demand for appointments and supporting our clinical staff and you will be working with a great team of people who will support you along the way

ICOTT have bases in Longton, Newcastle under Lyme and Leek and flexibility to work across these areas is required.

### Main duties of the job

As part of this role, you will be expected too:

- Record accurate, confidential and sensitive patient information in electronic patient records system & use of Office 365 packages
- Being part of the wider administration team in ICOTT.
- Actively contribute to service improvement and be involved in patient engagement.

- Communicate in a precise and effective way both internally and externally to patients, relatives and carers for many of whom there may be communication difficulties. Information must be communicated using relevant speed, accuracy, tact, understanding and confidentiality.
- Appoint, cancel and rearrange appointments as required using the Trusts patient recording system.
- Answer telephone enquiries from members of the public and other healthcare departments / professionals.
- Process appropriate letters in relation to the patient’s appointment
- Supporting clinical services including creating and sending letters and supporting projects and audits as required.

### Experience

**Essential**

- Relevant experience of undertaking office procedures with minimal supervision
- Able to work within a team environment and contribute effectively to team development

**Desirable**

- Previous experience of working within the NHS
- Experience of using RiO or a patient clinical system
- Dealing with the public

### Qualifications & Training

**Essential**

- NVQ Level 2 Business Administration with GCSEs in English and Maths (or equivalent)
- RSA II or equivalent experience

- Previous admin or customer service experience
