### Job summary

To provide comprehensive medical administrative support to ensure smooth and efficient operation. Communicate with a range of internal and external professionals and organisations whilst always providing good customer service experience for all patients.

Ensure a friendly and professional ethos within the team/department for patients and staff.

### Main duties of the job

To provide comprehensive, timely and accurate admirative support to the clinical staff. Take, transcribe and type letters. Arrange follow up actions as instructed and send out appointments. Liaising with patients or the carers to answer any queries they may have. Type up assessments and carryout any administration required following the assessment. Coordinate and organise actions arising from correspondence such as interpreters and support agencies. Ensure prompt and efficient response, as required, by the medical staff. Coordination with other professionals, outside agencies, legal staff, Trust staff etc. Maintaining patient electronic records.

Organise meetings and take minutes as necessary. Type and distribute to those appropriate.

Update and record information onto the Trust electronic systems and databases as required within the Trust key targets times eg RiO, ICE, Ulysses, LogIt, Insight, etc.

You should have excellent communication skills, both verbally and written.

You need to be able to work using your own initiative.

To maintain and develop good working relationships with all members of staff within the Trust. To attend regular team meetings. Be aware of and work to the Hampshire & Isle of Wight Healthcare policies and procedures.

### Experience

**Essential**

- Working knowledge of clerical and office procedures
- An understanding of confidentiality and data protection
- Ability to communicate with professionals and managers at all levels both verbally and written

- Previous experience using RIO (patient electronic records)

### Qualifications

- Educated to GCSE or O level or equivalent including Maths and English.
- IT experience in the user of computer software packages (Microsoft office)

- Prior training on systems used by HIOW or other organisations.
