The postholder is required to:

- Retrieve records and/or information using detailed knowledge and understanding of the wide range of filing systems in operation within the  Trust including filing systems in use within individual patient’s manual and electronic records.

### Main duties of the job

An opportunity has arisen to join the Waiting List Department based at Blackpool Victoria Hospital.

You will be motivated, enthusiastic, have good communication skills and work well within a team. The maintenance of patient confidentiality and excellent customer care skills are essential to this post.

Duties will include the retrieval of Health Record Folders, updating patient’s details in their Health Record Folder and on the Trust’s PAS system.

### Detailed job description and main responsibilities

Duties and Responsibilities (including but not limited to):

- To request patient case notes from across the Hospital and associated peripheral hospitals.
- Prepare case notes for theatre admission and preoperative assessment appointments
- Update the Hospital Information System (MAXIMS) to reflect the correct location of the casenotes
- Ensure that all duties allocated are completed in a timely and satisfactory manner
- Offer general support to the Waiting List team.
- Liaise with, and work in harmony with, other areas of the Trust to promote patient experience

- To adhere to the Medical Records Procedures.
- Answering the phone, taking messages and acting upon the messages
- Constantly review admin processes and consider ways in which to improve them
- Comply with the job description statement
- The post holder must comply with all relevant policies, procedures and training requirements
- To undertake any other ad-hoc activities as directed.

- Liaise with all grades of staff internally and externally including other hospitals.
- Understand the GDPR (General Data Protection Regulation) and Access to Health Records Act 1990
- Support the review and processing of requests received and respond back to enquiries.

### Skills & Ability

**Essential**

- Ability to organise workload, prioritise tasks and manage time efficiently.
- To be able to communicate effectively at all levels, clear and concise written skills.

**Desirable**

- Flexibility in working hours and be able to cover other shifts at short notice.

### Experience & Knowledge

**Essential**

- Strong attention to detail, computer literacy.
- Experience of working within an administrative or clerical role.

**Desirable**

- Ability to work both independently and as part of a team.

### Qualification Requirements

- Microsoft office: Word, Outlook, Excel & Teams
- A good general education, including GCSEs in Maths and English or equivalent standard

- NVQ Level 2 in Administration
