### JOB DESCRIPTION

### JOB SUMMARY

The post holder will provide efficient and effective administrative support service to Clinical staff and their teams within the Specialist Primary Care Services.

### KEY DUTIES / RESPONSIBILITIES

Operational Delivery

Provide an administrative support service to Clinical staff and other team members.

Deal with telephone and face to face enquiries from staff, other professionals, patients and relatives providing information and directing and prioritising queries as appropriate and taking any necessary action.

Typing reports and documents as directed by Clinical staff.

Maintain an effective electronic and manual filing system and ensure filing is kept up to date on a regular basis.

Establish, maintain and develop close working relationships with managers and staff at all levels throughout the Trust and to interact effectively with members of the public as required

Book and arrange appointments and interpreters as required.

Record discharge files in accordance with Trust Policy and arrange transportation to Closed File Store. Arrange retrieval of files from Closed File Stores when required.

Prioritise workload in accordance with expected outcomes.

Undertake any other ad hoc administrative duties.

Provide cover for other administrative staff as required.

Information Management

Assist and support in the collation of information on a regular and ad hoc basis; producing tables and presentation of information using a range of online products including excel and powerpoint that may be required.

Ensure that all systems used both manual and computerised are maintained accurately at all times.

Input information on Encompass ensuring all patient details are correct.

Maintain Clinical staff schedules on Encompass.

Implement Partial Booking processes and management of Waiting Lists on Encompass.

Setting up ad hoc clinics / cancelling clinics on Encompass as required.
