### Job summary

Grove Surgery has an opportunity for an Administration Manager to join our busy practice support team and assist in the smooth delivery of excellent patient care. This role is offered on a full time basis 37.5 hours per week.

### Main duties of the job

- Supporting the Practice Manager in the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities
- Providing leadership and guidance to staff ensuring that they always adhere to policy and procedure
- Line manager to the administration team
- Provide first line support to all staff, to promote excellence in customer service
- Deputising for the Patient Services and Quality Manager when absent. Supporting the reception team.
- To support colleagues in dealing with difficult or unpleasant patients or situations
- Ensure compliance with CQC regulations and standards
- Reviewing and regularly updating job descriptions and person specifications, ensuring all staff are legally and gainfully employed
- Evaluating, organising, and overseeing the staff induction programme for administration team, medical students and Doctors in training
- Maintaining updates to website and social media
- Support Complaints lead supporting patients to have their concerns listened to and investigated, responding appropriately and timely. Following our policy
- Lead contact for our patient participation group. Attending meetings, building relationships with members of the PPG
- Manage the significant event database, providing advice to staff and briefing the team at meetings as required
- Supporting the Assistant Practice Manager to identify trends and devise solutions to reduce risk and repeated occurrences of significant events

## Person Specification

### Experience

**Essential**

- A relevant qualification in business management, or equivalent qualification or experience. Educated to A level standard or equivalent experience
- Detailed and up-to-date knowledge of employment legislation, as well as experience in managing a diverse workforce
- Prior experience of leadership and personnel management, ideally within a healthcare setting
- Self-motivated, with a forward-thinking, solution-focused approach
- The ability to develop, implement and embed policies, procedures and guidelines
- Experience of working in an ever-evolving environment, with an ability to cope with regular change
- Excellent organisational, management and planning skills, IT skills and communication skills
- Ability to identify training and development needs in self and other as well as experience of appraising staff
- Some flexibility is required as you will sometimes need to work additional or alternative hours to cover for colleagues. All applicants should ensure that they live within reasonable commuting distance.
