### Main duties of the job

The post holder will support the operational team and manage the secretarial and clerical teams, ensuring the smooth running of the directorate in relation to its administrative patient’s services. This involves supporting with the delivery of performance targets, including waiting lists, finance and HR. Other key tasks will include supporting various projects/developments from inception to implementation.

### Detailed job description and main responsibilities

- Manage and oversee the day-to-day operations of the relevant administrative teams, ensuring tasks are efficiently allocated and deadlines are met. Resolve issues and make necessary adjustments to staffing levels during periods of sickness or increased workload.
- Conduct staff appraisals, identify training needs, and provide development opportunities for administrative staff. Ensure that mandatory training is completed, and that staff adhere to health and safety standards.
- Lead the recruitment process for administrative positions, including ESRs, advertising roles, shortlisting candidates, conducting interviews, and onboarding new hires where required.
- Ensure that the administrative functions adhere to patient access policies, departmental guidelines, and quality standards. Manage the patient waiting list and ensure compliance with the maximum waiting time targets.
- Act as a key driver for the development and implementation of administrative policies and procedures. Contribute to service development projects aimed at improving efficiency and operational performance.
- Ensure that all clinical sessions are adequately supported by clerical staff. Monitor the allocation of secretarial support for consultants, ensuring all administrative needs are met efficiently.
- Monitor the departmental budget, ensuring the efficient use of resources. Manage administrative-related expenses, including travel allowances, overtime, and supply procurement.
- Serve as a point of contact between the administrative team, clinical teams, and external stakeholders. Effectively communicate departmental updates, key performance targets, and issues requiring attention.
