Would you like to be part of a team that works well together, always there to help each other? An exciting opportunity has arisen at Outpatients Reception, Walkergate Park Hospital and we would love to hear from you – come and join our team.

Applications are invited friendly, caring and compassionate individuals who enjoy working in a reception environment and can demonstrate confidence and experience of excellent customer service. The Outpatients Department within the Neurorehabilitation Service supports around 15 outpatient clinics per week and provides treatment to patients suffering from various neurological disorders. The clinics are facilitated by a wide range of medical and clinical staff. The successful candidate will work well within a team and will be looking to develop their administrative and communication skills in a busy reception environment, offering a warm, professional welcome and paying particular attention to detail when booking multiple appointments of differing natures and timescales. The successful candidate will work within the admin team and provide crossover on Receptions. The ideal candidate should have excellent communication, customer service and organisational skills, as well as a working knowledge of office procedures including IT skills. You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you may not be shortlisted.

### Main duties of the job

- The professional meet, greet and check-in of service users
- Booking/rearrangement of appointments by closely following local training guidelines, being mindful of prescribed treatment timescales and the requests of medical/clinical staff
- Communicating at all levels, with high volumes of telephone calls from service users
- Accurately updating patient details within RiO (the Trust's patient information system)
- Formatting documents
- Scanning and uploading
- Dealing with correspondence
- Assisting with ad hoc requests
- Experience of Microsoft Office and working within an administrative environment are essential to the post. Knowledge of RiO is desirable.

The post holder will also undertake additional duties such as ordering supplies, requesting repairs and updating rotas and duty sheets. This list is not exhaustive.

## Person Specification

### Experience

**Essential**

- Ability to uphold confidentiality at all times.
- Able to prioritise and plan own workload.
- Experience of carrying out administrative tasks, e.g., data input, receiving and making telephone calls.

**Desirable**

- Experience of working in an NHS/health care setting.
- Experience of processing NHS/health care documentation.
- Experience using stock ordering and/or petty cash systems.
- Experience of working with paper-based and electronic filing systems.

### Skills and Knowledge

**Essential**

- Working knowledge of Microsoft applications including Outlook, Word, Excel and Power Point.
- Able to input data accurately and efficiently.
- Undertake repetitive tasks whilst maintaining attention to detail.
- Good communication and interpersonal skills, both verbal and written, face-to-face and non-facing customers.
- Demonstrates good customer care skills at all times.
- Good working knowledge of office procedures.
- Good organisational and planning skills using own initiative.

**Desirable**

- Knowledge of working in an NHS environment.
- Ability to maintain and update patient information database(s).

### Education and Qualification

**Essential**

- Intermediate (Level 2) Typing/Word processing qualification and/or relevant demonstrable experience e.g. 12 months experience.
- Good general level of education including a pass in English Language and Maths.

**Desirable**

- NVQ Level 2 in Business Administration.
- NVQ Level 2 in Customer Service.
- Working towards Level 2 standard in Maths and English.
