Applications are invited from qualified and experienced administration candidates to join our busy administration team. We currently have a full time Band 2 Administration Assistant vacancy with the Gateshead Community Treatment Team based at Lobley Hill Clinic, Gateshead, NE11 0AL. (Please note postholder will be required at times to be based at Dryden Road Clinic, 136 Dryden Road, Gateshead NE9 5BY and occasionally at Keegan Court, Grassbanks, Gateshead, NE10 8DX.

This is a very busy service and the successful post holder will be a member of the admin team to support the multi-disciplinary clinical team in providing a comprehensive, high quality administrative service at all times. The post holder must facilitate excellent customer service and be confident in dealing with service users face to face as well as on the telephone.

### Main duties of the job

Candidates will be responsible for administrative functions and must have demonstrable recent 12 month experience including, but not limited, to the following: (see job description for further information):

- Experience working in a customer / patient focused environment (face to face and telephone)
- Admin and Clerical experience
- General administrative duties
- Fast, accurate typing/keyboard skills
- Database Inputting
- Ability to be self-directed, motivated and be able to contribute positively within a team
- Ability to change tasks at short notice
- Well organised and structured
- Reliable and punctual
- The post holder will be expected to demonstrate flexibility in the role
- The post holder will be able to demonstrate the ability to deal with possible exposure to highly distressing or highly emotional circumstances and will be expected to participate on all relevant training courses appropriate to the role
- Candidates must be adaptable, work well as a team and provide a positive patient experience which are essential skills for the role of Administration Assistant
- You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you will not be shortlisted.

### Applicant requirements

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

### Experience

**Essential**

- Experience of working in an administration role
- Ability to uphold confidentiality at all times
- Able to prioritise and plan own workload

**Desirable**

- Experience of working in an NHS/healthcare setting
- Experience using stock
- Experience of working with paper-based and electronic filing systems

### Skills and Knowledge

**Essential**

- Working knowledge of Microsoft applications, including Outlook, Word, Excel and Power Point
- Able to input data accurately and efficiently
- Good communication and interpersonal skills, both verbal and written
- Demonstrates good Customer Care Skills
- Good working knowledge of office procedures
- Good organisational and planning skills using own initiative

**Desirable**

- Knowledge of working in an NHS environment

### Qualifications and Training

**Essential**

- OCR/RSA Level 2 Typing/Word processing qualification (or equivalent) and/or relevant demonstrable experience
- Good general level of education to O-Level/ GCSE or equivalent in English Language
- NVQ in Business Administration (or equivalent)

**Desirable**

- NVQ Level 2 in Customer Care (or equivalent)
